Adding Staff & Impersonating Users
When you first onboard with Tender Manager, your environment is provisioned with a single Super Admin account. To scale your procurement operations, you must know how to correctly delegate access to your team members.
1. The User Management Hub
To begin managing your team, locate the Top Navigation Bar. Click on the Admin menu (identified by the User Shield icon) and select Manage Users from the dropdown menu.
2. The Three Pillars of Access (Permissions Matrix)
Tender Manager uses a role-based access control system to ensure security and operational clarity:
- Admin User: Ideally for your dedicated tender coordinators. They can download documents from the Master Library, engage in Workspace chats, and upload final case submissions.
- General Manager: The oversight role. In addition to standard actions, they can upload and update Master Library documents and view top-level financial reports for the organization.
- Super Admin: The systems role. This role is exclusively required for adding/removing users and configuring top-level system settings.
3. Step-by-Step: Adding a New User
- On the User Management page, click the Add New User button located at the top right of the dashboard.
- Identity: Enter the user's Full Name and their official company email address.
- Role Assignment: Use the dropdown to select one of the three roles described above.
- Password Security: Create a temporary password. Note: Our system uses high-entropy salted hashing—passwords are not retrievable even by our technical support team.
- Click Save User Account.
4. Troubleshooting: The 'View As' Strategy
If a team member reports a technical hurdle or a missing document, you don't need to ask for their password. Use the View As (Impersonate) tool next to their name in the user list. This allows you to see the portal exactly as they see it, enabling you to identify permission gaps or navigation issues instantly. Simply log out to return to your Super Admin view.
